How to chase retainer payments without awkwardness

Monthly retainers slip when clients “forgot”. Use a calm WhatsApp rhythm and a morning dues list so retainers land on time.

Retainers fail quietly. Unlike a one-off invoice, the client assumes the relationship is ongoing — and payment becomes background noise until your cashflow hurts.

Treat each retainer month as its own due: number it (RET-Aug, RET-Sep), set a due date, and chase it like any other receivable.

Retainer chase script

English: “Hi {name}, quick note — August retainer {number} of ₹{amount} was due on {date}. Please confirm payment when convenient so we stay on track.”

Hindi: “Namaste {name}, {month} retainer {number} (₹{amount}) ki due date {date} thi. Payment confirm kar dijiye. Dhanyavaad.”

Send on due day, then day +3, then day +7. Do not stack three messages in one afternoon — that feels like pressure, not professionalism.

Habit > memory

Add retainers next to invoices in one Today view. JobPay supports retainer as a service type so your morning list covers everything you are owed — not only classic invoices.
